2. General

This Privacy Statement describes how Masévon Group (and all subsidiaries belonging to its group) as Controller processes the personal data of Data Subjects (such as (prospective) customers, applicants, business partners, suppliers, intermediaries, etc.).

3. Personal Data We Process

Personal data refers to information about an identified or identifiable natural person. Masévon Group processes personal data because you use our services or products, or because you provide it to us directly — for example via our website, via our secure file exchange platform Fileshare, or by contacting us. Personal data may also be processed via third parties, such as recruitment agencies in the context of hiring. If you choose not to provide personal data, we may be unable to provide our services or products.

We may process the following categories of personal data:

  • First and last name
  • Job title and company name
  • Address details
  • Phone number
  • Email address
  • Bank account number (suppliers and business partners only, for payment processing)
  • IP address (recorded via our web server and via Fileshare)
  • File and communication data sent or received via Fileshare
  • Other personal data you actively provide, for example in correspondence or by telephone
  • Data about your activities on our website, to the extent you have consented via the Cookie Statement

4. Purposes and Legal Bases for Processing Personal Data

We process personal data on the basis of one or more of the following legal grounds under the General Data Protection Regulation (GDPR):

  • Consent
  • Performance of a contract with you
  • Compliance with a legal obligation, for example in the context of our tax or administrative duties
  • Legitimate interest of Masévon Group, including: security of our systems and infrastructure, IT management, marketing and communication regarding our products and services, and maintaining business relationships

We process personal data for the following purposes:

  • Entering into and performing contracts with customers and suppliers
  • Processing payments and maintaining the associated financial administration
  • Secure file exchange via Fileshare
  • Responding to questions and requests for information about our products and services
  • Informing you of changes to our products, services or terms
  • Recruitment and selection of personnel, including via recruitment agencies
  • Complying with legal obligations, including statutory retention requirements
  • Securing and optimising our website and digital infrastructure

5. Minors

Our website and/or service is not intended to collect data from website visitors under the age of 16, unless they have the consent of a parent or guardian. However, we cannot verify whether a visitor is over 16. We therefore encourage parents and guardians to be involved in the online activities of their children, in order to prevent data about children being collected without parental consent. If you believe we have collected personal data about a minor without such consent, please contact us at info@masevon.com and we will delete this information. Parents and guardians may at any time request that personal data provided about minors be amended or deleted.

6. Automated Decision-Making

Masévon Group does not make decisions based on automated processing that may have (significant) consequences for individuals. This refers to decisions made by computer programmes or systems without human involvement (such as an employee of Masévon Group).

7. Retention of Personal Data

Masévon Group does not retain your personal data for longer than is strictly necessary to fulfil the purposes for which it was collected. We apply the following retention periods:

  • Financial administration and customer data: minimum 7 years (statutory tax retention obligation)
  • Personnel files: minimum 2 years after end of employment (unless a longer period applies due to tax obligations or legal disputes)
  • Application data: up to 4 weeks after the end of the application procedure (or longer with the consent of the Data Subject)
  • Real estate: 10 years

8. Sharing Personal Data with Third Parties

Masévon Group shares your personal data with third parties where necessary for the performance of the contract and to comply with any legal obligation. With companies that process your personal data on our behalf, we enter into a data processing agreement to ensure the same level of security and confidentiality. Masévon Group remains responsible for these processing activities. This may include providers of IT, hosting, HR, external advisors, accountants or legal counsel.

9. Cookies and Similar Technologies

Masévon Group uses cookies and similar technologies. We use the following categories of cookies:

Functional cookies are necessary for the proper functioning of the website. They ensure, for example, that your preference settings are remembered. No consent is required for these cookies.

Analytical cookies are used to measure and improve the use of our website. We use Google Analytics 4 for this purpose. The data collected is processed anonymously and is not used for advertising purposes.

Marketing and tracking cookies may be placed by third parties, for example to measure the effectiveness of business advertising campaigns. We only place such cookies with your explicit consent.

10. Right to Access, Rectification or Erasure

You have the right to access, rectify or erase your personal data. You also have the right to withdraw any consent you have given for the processing of your personal data, to object to the processing of your personal data by Masévon Group, and the right to data portability. This means you may submit a request for us to send the personal data we hold about you to you or another organisation of your choosing, in a machine-readable format.

Requests for access, rectification, erasure, data portability, withdrawal of consent or objection to processing may be sent to info@masevon.com. To verify that the request has been made by you, we ask you to include a copy of your identity document. Please redact your passport photo, MRZ (machine readable zone, the strip of numbers at the bottom of the passport), passport number and citizen service number (BSN) to protect your privacy. We will respond as soon as possible, and within four weeks.

11. How We Secure Personal Data

Masévon Group takes the protection of your data seriously and implements appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration. 12. Changes to This Privacy Statement

The Controller reserves the right to amend this Privacy Statement. Any changes will be announced in accordance with applicable law and published on this page. A clear notice will be provided via the website in the event of a material change. The Controller recommends that Data Subjects check this page regularly for updates. Continued use of the website and/or services after changes take effect constitutes acceptance of those changes. If a Data Subject does not agree to the changes, they must discontinue use of the website and/or services.
